Privacy policy

At GEI, we recognize the importance of protecting your personal information and ensuring that your consent is always clear, free, and informed. Here are the measures we have in place to ensure this.

  1. Depending on the requested service and to respond appropriately, we may collect the following information:
    1. When you create a user account on the GEI website: Name, email address, and participant status (Regular or Student).
    2. When you log in to your user account on the GEI website: Name, IP address, and timestamp of your account logins and logouts. If you don't have a site user account or if you browse the site without being logged into your account, no information is collected.
    3. When you join GEI: Name, email address, mailing address, phone number, professional status. The history of your memberships is retained. Payments are made on PayPal's secure site, and GEI does not have access to your banking information. In exceptional cases where payment is made by check, GEI conducts a digital deposit, securely retains the check for 10 days, and then destroys it.
    4. When you register for a GEI activity: Name, email address, mailing address, and phone number. The history of your registrations is retained. After participating in an activity, your participation time is also retained for the issuance of participation certificates. Payments are made on PayPal's secure site, and GEI does not have access to your banking information. In exceptional cases where payment is made by check, GEI conducts a digital deposit, securely retains the check for 10 days, and then destroys it.
    5. When you register for the Professional Reference Directory: Name, contact email address with GEI, professional phone number, professional email address, professional address, offered professional services, served age groups, languages of offered services, theoretical approaches.
    6. When you subscribe to the GEI discussion list: Name and email address.
    7. When you subscribe to GEI mailings: Name and email address.
    8. When you contact us by email, phone, or mail: Name and, as applicable, email address, phone number, or mailing address, along with the informations contained in the communication.
  2. To protect your personal information:
    1. We limit their collection to what is necessary for their purpose.
    2. We limit access to staff members who need to process them and who have been trained in the protection of personal information and cybersecurity.
    3. We have security measures in place against loss, theft, and unauthorized communications (encryption, firewall, strong passwords).
    4. We retain your information only for the duration necessary for its function; afterward, it is securely destroyed or anonymized.
    5. The GEI site uses a connection cookie allowing a site user to connect to their account, but no cookie is used for users who are not connected to their account or don't have user account. And the site does not use any tracker.
    6. We use digital tools from service providers outside Quebec for our administration or activities, and your information will be subject to the laws of the respective countries. We carefully assess the risk factors regarding the protection of your personal information before using these services and accept an agreement only if it includes adequate security measures.
    7. We do not sell or transmit your personal information to any third parties.
  3. To ensure your clear, free, and informed consent:
    1. We inform you of the purpose of each information collection.
    2. We always respect the purpose for which we collected your personal information.
    3. We acknowledge your right to withdraw your consent at any time.
    4. We make our privacy policy accessible and inform you of occasional updates.
  4. At any time, you can view and modify the personal information you have provided to us. Here's where to find them and how to modify them:
    1. Your GEI website user account: Under the "Edit" tab of your user account, you will find your name, email address, and participant status (Regular or Student). Under the "Address Book" tab, you will find your mailing address and phone number if you have requested their storage for future registrations. All this information can be modified directly on these pages, except for your participant status (Regular or Student), which can be changed by contacting the administrative assistant at the email address info@intersubjectivite.com.
    2. Your GEI membership: The relevant information (see point 1.c.) is recorded in the membership transaction, and for legal and accounting purposes, it cannot be modified after being completed. However, this information can be modified in your website user account (see point 4.a.), except for the professional status, which does not appear there. The modified information in your account will be used for your next membership. Your professional status will be updated during your next membership renewal.
    3. Your registration for an activity: The relevant information (see point 1.d.) is recorded in the registration transaction, and for legal and accounting reasons, it cannot be modified after being completed. However, this information can be modified in your website user account (see point 4.a.), except for the number of participation hours, which does not appear there. The modified information in your account will be used for your future registrations. Your participation hours will be retained until the end of the current OPQ continuing education cycle, and this information will be securely destroyed afterward.
    4. Your registration for the Professional Reference Directory: Registration for this directory must be renewed annually, and the information it contains is deleted at the end of each calendar year. You can modify this information from the link in the automated confirmation email you received after completing the directory registration form. If you no longer have this email, please contact the administrative assistant at the email address info@intersubjectivite.com.
    5. Your subscription to the GEI discussion list: This data can be modified by contacting the administrative assistant at the email address info@intersubjectivite.com. You can also unsubscribe using the link in the footer of the discussion list emails or by contacting the administrative assistant.
    6. Your subscription to GEI mailings: This data can be modified by contacting the administrative assistant at the email address info@intersubjectivite.com. You can also unsubscribe using the link in the footer of the mailings or by contacting the administrative assistant.
  5. Please contact the designated person responsible for access and protection of personal information for the following needs:
    1. Questions, comments, or complaints regarding our privacy policy.
    2. Reporting a privacy incident.
    3. Withdrawing your consent to the use and storage of your personal information.
